ON-SITE INFORMATION

We hope you have had a hassle free time getting here today and everything on your stand is how you expect it to be.  If you need anything at all please visit us (Maggie & Sam) at the Organiser’s Office situated in at the back of the show near the Coffee Bar.  The contact number for the Organiser’s Office is 0203 553 2377.

WIFI

There is free WiFi throughout the venue for Exhibitors.  Please select Venue Hire in the network options and when prompted enter 3Counties2019 as the password.

EXHIBITOR TEA & COFFEE

As always at Build It Live shows there is free tea and coffee available in the Exhibitor Lounge at the back of the show next to the Organiser’s Office.  However, please do not leave used cups on the tables, please dispose of them in the bin provided. Be considerate to other users.  Please reuse your cups to save on waste.

CATERING AREAS

There will be a number of catering outlets open in our outdoor catering area on the Saturday and Sunday.  During the build up on Thursday and Friday there is a catering van open in our outdoor catering area between 10am and 3pm – this is Malvern Street Kitchen.

Build It Live will also be giving all exhibitors a free bacon (or veggie alternative) sandwich on each open morning.  This will be from the Malvern Street Kitchen or the Panini Unit in the outdoor catering area.

CLEANING

All stands and gangways will be cleaned before the show opens each day.  Please place all bags of waste in the gangways each night for removal and dispose of any liquids so as to avoid spillage and damage to the carpets.  We recommend that you regularly wipe down the surfaces on your stand throughout the day with anti-bacterial spray or wipes.

DELIVERIES/ACCESS/STOCK REPLENISHMENT

No trolleys are allowed in the hall whilst the show is open. If you have anything delivered while the show is open it will need to be hand carried into the hall.  Unfortunately, we are unable sign for or take any responsibility for deliveries, so it is vital that you arrange deliveries for when you are going to be in the hall.  If you are not available to sign for your packages, the courier will either take them away for you to arrange redelivery or they will be left on your stand at your own risk.

PARKING

Please follow the traffic marshals’ instructions as to where to park.  We have a dedicated exhibitor parking area close to the hall.  However, we ask you do not attempt to bring your vehicle down to the loading area until the traffic marshals say so, as we have to wait until all visitors have left the site.

EXHIBITOR DRINKS RECEPTION

We are holding a drinks reception for all exhibitors after the show closes on Saturday.  This will be in the outdoor catering area unless the weather is bad, in which case we’ll do it inside the building.

EXHIBITOR PASSES

You can collect these from the Exhibitor Entrance or from the Organiser’s Office.

EMERGENCY PROCEDURES

Medical / First Aid

If you are asked to call first aid please report this through the Organiser’s Office.  You can use the Organiser’s Office number 0203 553 2377.  Please give clear instruction of where first aid is needed – stand number etc.  The Organiser’s will then ask first aid to visit this location.  If there is a medical emergency that is clearly more than a First Aid issue then please report to the Organiser’s Office immediately with clear instructions of what is required and where.  NEVER call an ambulance direct as this may slow down the response.  Going through the Organiser’s Office will ensure the emergency services get to the right place – Bicester Motion is a huge place and the ambulance crew need clear instructions of where to attend.

Fire

If you discover a fire, immediately contact the Organiser’s Office or notify security.  Never use the word “fire” within the hearing of the public always use the code word “Code 1”.  You can use the Organiser’s Office number 0203 553 2377 to report the fire but do not call the emergency services direct.  Try to extinguish the fire with the extinguishers supplied, but without taking personal risk.  If extinguishing the fire isn’t an option find the nearest fire point and activate the alarm.

The organiser’s office will call the Three Counties Duty Manager who will then liaise with the emergency services.

Evacuation procedure

  1. Should it be necessary to evacuate the building, the following announcement will be made via the public address system: “ladies and gentlemen, due to unforeseen circumstances could you please leave the building by your nearest safe exit, would you please make your way to the grassy area towards the car park where further information will be given”
  2. When this announcement has been made, open all exit doors and call out in a loud, firm voice: “this way out please”
  3. Ensure that your area is clear, and that all electrical appliances are switched off.
  4. Leave the building by the nearest available exit.
  5. Do not re-enter the building unless told to do so
  6. Report to the assembly point which is out the front of the building

Response to Terror Related Threats

The likelihood of a terrorist threat at Build It Live, West is highly unlikely. All recent UK attacks have been in cities and in high profile locations. In contrast our show is in a rural location with a crowd density that is less than most sporting occasions and many shopping centres. However, it is important we are all aware of what to look out for, and how to react, if there is any suspicious behaviour seen, or packages found. The 3 most important messages are:

1) Stay vigilant

2) If you see any suspicious person/package discreetly report it to the Organiser’s Office

3) If you witness a marauding attack in progress call 999 immediately

Suspicious Packages

Look out for packages, bags or other items in odd places and carefully placed (rather than dropped) items in rubbish bins. Good housekeeping is essential to keep on top of waste so if you see any bins overflowing please report to the Organiser’s Office so we can get cleaning on to it.  If you discover a suspicious object or package, or it is reported to you:

  1. Do not touch suspicious items
  2. Move everyone away to a safe distance
  3. Prevent others from approaching
  4. Communicate calmly to people in the vicinity – and report to the Organiser’s Office
  5. Do not use mobile phones or radios within 10m of the suspect package 
  6. Organiser’s Office will call the police giving as much detail as possible
  7. Organiser’s Office will evacuate the whole building if necessary
  8. Ensure that whoever found the item or witnessed the incident remains on hand to brief the police

HEALTH & SAFETY

Please be aware that under no circumstances will persons under the age of 16 be permitted in the hall at any time during build and breakdown – this includes exhibitors’ own children.  You have a legal duty of care for the safety of anyone who may be affected by your activities.  You are ultimately responsible for all aspects of safety on your stand during the build-up, open period and breakdown.  If you hire contractors to build or set up your stand you are still vicariously responsible for their activities.  There will be a health & safety manager onsite during build-up and breakdown so please speak to them if you have any questions at all.

STAND QUERIES, SUPPLIER SERVICES & LAST MINUTE ORDERS

There is a Showlite service desk situated in the hall in build up where you can make any last-minute orders or ask any questions about your stand build, carpet, electrics or lifting services.  Any electrical issues should be reported in the Organiser’s Office.

BREAKDOWN INFORMATION

We hope you have had a successful show so far.  We have put together some information below to try and aid a smooth and hassle free breakdown on Sunday night / Monday morning.

TIMINGS

 

 

 

Please note that stand power will be switched off 30 minutes after the show closes unless you have ordered temporary or 24 hour power from Havills.  Breakdown will only start once the visitors have left the hall.  Please do not start packing away your stand until the show has closed and the visitors are clear of the hall.  You must remove all materials from your stand that belong to you, for example your own flooring, graphics, literature and lighting. If you leave any excess waste (waste that does not fit into a bin liner) then you will be charged for its removal.

SITE RULES

Please ensure you stick to the site rules, which are the same as during build up.  The key things to remember are:

  • No children under 16 years of age are allowed in the hall once breakdown begins
  • Sensible footwear must be worn – at a minimum these must be flat, closed toe shoes
  • High visibility vests must be worn when working in areas where there is high working, or in the loading areas

CATERING

There will not be any catering available during breakdown.  If you are in need of a cup of tea, coffee or water, please use the Exhibitor Lounge where you can help yourselves.

COURIER COLLECTIONS

Please mark all packages for collection with your stand name and number, and a contact name and number so we can call you in your courier does not turn up.  The address to give the courier company is:

VEHICLE ACCESS

On Sunday morning Exhibitors and Contractors with small vehicles will be permitted to park in the Exhibitor Car Park.  However, you will not be allowed to move your vehicles for breakdown until the hall is clear of visitors.  Please note parking is allocated on a first come, first served basis. Exhibitors are requested to be patient and cooperate with the Traffic Marshals at all times.

Larger vehicles may be parked up at the West Car Park by the Event Entrance and allowed down once visitors are clear of the hall and the car park.

Please be patient with us here, the loading areas will become clear of small vehicles quite quickly and following this you will be allowed down to the hall with your vehicle.

All product collections by visitors MUST take place at the close of show. For both safety and security reasons they will NOT be permitted entry into the halls during any other part of breakdown.
